Which portal can actually see your application
Use GDRFA-Dubai if your visa was applied for through Dubai, and ICP if it was applied for through any of the other six emirates; a file held by one authority does not appear on the other’s portal, so the wrong portal returns nothing even when your visa is perfectly healthy ( u.ae , where to apply for entry permits or visas, accessed 2026-08-10). A Dubai hotel booking or a Dubai-bound flight does not automatically mean GDRFA. What matters is the sponsor who filed the application. If an Abu Dhabi-registered agency or airline desk filed it, the file can sit with ICP even though you are flying into Dubai. If you are not sure, try the correct-looking portal first, and if it returns nothing with details you know are correct, try the other one before assuming the worst.
How to check a Dubai visa status on GDRFA
Open the GDRFA-Dubai Status Tracking page, pick one of the five “Search by” modes, fill in every field in that mode, and press Search; the page states plainly that you must enter all the search parameters, so a partial match will not work (GDRFA-Dubai, Status Tracking, accessed 2026-08-10). Three details that decide whether the search works:
· Every field in the chosen mode is compulsory. The instruction on the page is “PLEASE ENTER ALL THE SEARCHING PARAMETERS”. Two out of three fields returns nothing, which reads exactly like a missing application but is not one.
· Dates are DD-MM-YYYY on GDRFA. Payment Date and Birth Date both use that format. ICP’s File Validity screen uses dd/MM/yyyy. Entering an Indian-style or American-style date in the wrong box is a silent failure, not an error message.
· Nationality is a picklist, not free text. Select India from the dropdown rather than typing it.
Note the one mode most people miss: Application for reconsideration searches on passport number, nationality and year of birth alone, with no application number at all. If your application was refused and someone has since filed a reconsideration on your behalf, that is where it shows, and it is the only GDRFA mode that works from passport details you already hold.
How to check on ICP, and how to check a visa that is already issued
ICP splits the job across two tools: Application Tracking, which asks only for your Email and your Request Number, and File Validity, which checks whether an issued visa, residency or Emirates ID file is currently valid (ICP Smart Services, Application Tracking and File Validity, both accessed 2026-08-10). Neither requires you to sign in.
Application Tracking is the one to use while a decision is pending. It takes the email address the application was filed under plus the request number, and returns the request number, the administration handling it, the service being applied for, and a table of actions against the request with dates and comments, which is effectively a timeline of what has happened. Where nothing matches the details entered, it returns a no-record message rather than an error, so treat “no record” as “wrong details or wrong authority” first and “problem” second.
File Validity answers a different question: not “has it been decided” but “is it valid right now”. It lets you search by File No. or by Passport Information, then asks you to select the type (Residency, Visa or Emirates ID) and to supply nationality and date of birth alongside a verification step. This is the tool for confirming that a visa already in your hand is live before you board, which is worth doing if there has been any gap between issue and travel.

Where your reference numbers come from, and why you might not have any

This is the structural reason Indian applicants get stuck. The status tools are public and free, but the numbers that unlock them sit with whoever filed the application. So, whoever files for you, ask for these four things in writing at the time of payment and keep them together:
1. The application number and the transaction number, which are different numbers and both required in the default GDRFA mode.

If an agent refuses to hand over the application and transaction numbers, that is worth pushing back on. They are your application’s identifiers, not the agent’s trade secret, and without them you are dependent on the agent’s own updates.

What each status actually means, and how long it should last
A UAE visa application moves through a short sequence of states, and the useful skill is knowing which of them are normal waiting and which of them are asking you to do something. Exact labels differ between GDRFA and ICP and can change, so read the wording you see against these plain meanings and follow any instruction on screen.

What to do when the status is stuck
Before escalating anything, work through the failure modes that look like a stuck application but are not, because most stalled status checks are a data problem at your end rather than a decision problem at theirs. In rough order of how often they bite:
· You are on the wrong portal. A Dubai file will not appear on ICP, and an ICP file will not appear on GDRFA. Try the other one.
· You are in the wrong Search by mode. An application number entered into the File mode will not resolve, because that mode wants a file number and a first name.
· A date is in the wrong format. GDRFA wants DD-MM-YYYY, ICP’s validity screen wants dd/MM/yyyy.
· The name or passport number does not match the application exactly. First name in English means as printed in the passport, not a short form, and passport numbers must be entered without spaces.
· The payment has not settled. If a card payment failed or is still pending at the sponsor’s end, the application may not exist yet in the system you are searching.
· The agent filed it under their own email. The ICP tracking screen keys on the applicant email, so if the agent used theirs, you cannot see it and they can.
· It is simply the weekend or a UAE public holiday. Government processing pauses; the status does not.
If none of those explain it, escalate with your reference numbers to hand. If the status shows rejected
A refusal usually arrives without a detailed reason, only part of what you paid can be reclaimed, and the right response is to find the defect and refile cleanly rather than to resubmit the same application. UAE authorities are not obliged to explain a refusal, so work backwards from the usual causes: a photo that breaks the specification, a scan that is unclear, a name or date of birth that does not match the passport character for character, a passport with less than six months of validity, or a previous UAE record that needs to be addressed.
The money at stake is real even before flights and hotels are counted. Once it says approved
Do not treat approval as the end of the job: open the entry permit, read every field against your passport, and only then book anything you have been holding back. Check the spelling of your name against the passport character for character, the passport number, the date of birth, the visa type and duration, and the validity dates. An error in an issued permit is far easier to fix while you are still in India than at the immigration counter in Dubai.
Two habits worth keeping. First, carry a printout as well as the file on your phone, because a dead battery at immigration is a solvable problem only if you have paper. Second, if the permit reached you as a PDF from an agent rather than from a government portal, verify it independently on GDRFA’s or ICP’s own tool before you fly. The government portal is the authoritative record; a PDF is just a document, and this is a corridor where visa-related fraud is common enough to be worth two minutes of your time.
